Dear FIG-15 Participants,

We are looking forward to welcoming you at the Variable Energy Cyclotron Centre (VECC) campus next week. This message contains some additional information that may be useful to you concerning your arrival and VECC campus site.

 

ARRIVAL:

The symposium will take place at the Ajay Divatia (A.D.) Lecture Hall (3rd floor, Administrative Building) at VECC campus which is located at the Sector-I of Block AF in Saltlake, VECC. Please note that VECC is also known to the common people as “Bhabha Centre”.

 

Novotel Hotel is about 20 min and Hotel Sonnet is about half an hour drive from Kolkata (CCU) airport. From VECC campus, Hotel Sonnet is about 5 minutes drive and Novotel Hotel is about 15 minutes’ drive. VECC (Silver Jubilee) Guest House is located in the VECC campus.

 

REGISTRATION:

On Wednesday, February 18th, a registration desk will be set up at the symposium site. Registration will start at 09:00 AM. Those who have not already paid their registration fee by bank transfer, please pay your registration fee (Rs. 2000/- for faculties and Rs. 500/- for students) in cash at the registration desk. We will only accept cash in Indian Rupees. The Registration fee includes a registration kit, an abstract book, all tea/coffee, lunches and the conference banquet.

 

TRANSPORTATION DURING THE CONFERENCE

We will arrange transport for all the participants staying in our recommended hotels (Novotel Hotel and Hotel Sonnet) and UGC-DAE-CSR guest house on all days of the conference. Vehicles will leave the hotels at about 8:45 AM on 18.02.2015 (Wednesday) for registration at the VECC campus. We will give you a separate list for travel schedule (between hotels to VECC and back) for other days.

 

INTERNET ACCESS:

There is free internet access at the A.D. Lecture Hall at VECC. However, for internet (wifi) connection you must register your device. Those who have sent the MAC addresses of their devices, please collect the login id and password at the registration desk.

 

CONFERENCE BANQUET:

There will be a Banquet Dinner on February 18, 2015 (Wednesday) at Club ECO VISTA in Rajarhat / New Town and VECC director will host a dinner on February 19, 2015 (Thursday) at the VIP lounge of VECC Canteen. If you are going to attend both or any of these dinners, please mention it during the registration.

 

TALKS:

A laptop and an LCD projector will be available in the A.D Lecture Hall. Please load your talk on to the laptop prior to your session. Please note that all the deliberations in the symposium will be in English.

 

POSTERS:

The poster session is scheduled on the first day i.e on February 18, 2015 (Wednesday) after lunch in the ground floor of the new building (new C & I building) situated on the west side of the administration building in which A.D hall is situated. The afternoon tea on this day only will be served in the same building where posters are there.

 

VECC FACILITY VISIT:

There is no scheduled visit to the VECC facilities. However, the interested participants are encouraged to contact the organizers. According to the number of interested person, a visit will be arranged either individually or collectively.

 

WEATHER:

Kolkata weather is still pleasant; we are few weeks away from the hot & humid Kolkata summer! Current average temperature is ~ 25 deg C (77 deg F) and humidity is more than 70%.

IMPORTANT NOTE:

VECC being a secured zone, we had to take special permission for you to carry your cell phone and laptops inside the VECC campus. In the security desk at the main entrance gate of VECC, you have to declare your laptops and cell phones while you enter our campus. Please don’t carry your camera inside the campus. Photography inside VECC is strictly prohibited, so please don’t use your cell phone camera. For the Non-Indian participants, entry to VECC campus must be through the Main Entrance Gate, every time you enter the campus, you have to report to the security desk at the main entrance gate. Only those, who are staying inside VECC Guest house can avail the Guest House Entrance gate.
